Role Overview: As an Administrative Assistant / Letting Agent, you will play a crucial role in the day-to-day operations of the agency. You will be working alongside a highly experienced team to manage our property portfolio, assist tenants, and support the office with administrative tasks. This is an excellent opportunity for someone looking to develop their skills in property management while contributing to the smooth running of the agency. Key Responsibilities: Property Viewings & Inspections: Schedule and conduct property viewings with prospective tenants, providing them with detailed information and answering any queries. Portfolio Management: Assist in managing both residential and commercial property portfolios, including liaising with tenants and landlords, and ensuring the properties are maintained to a high standard. Maintenance Coordination: Handle maintenance requests, schedule repairs, and liaise with contractors to ensure that all issues are resolved promptly. Administrative Support: Provide essential administrative and clerical support to the team, including answering phones, filing documents, and updating records on the property management software. Customer Service: Act as a point of contact for tenants and landlords, ensuring high levels of customer service are maintained, and resolving any issues or concerns. Office Management: Oversee the smooth running of the office on a day-to-day basis, including managing office supplies and ensuring that the team has the resources they need to operate effectively. Travel: Willingness to travel between Liverpool, Wirral, and Chester to attend property viewings and inspections. Who We Are Looking For: Skills & Qualities: Confident, hard-working, and proactive individual who thrives in a team environment. Excellent organizational and time management skills, with the ability to juggle multiple tasks effectively. Strong communication skills, both written and verbal, with an excellent phone manner. Customer-focused with a friendly and professional attitude. Comfortable working with Microsoft Office Suite (Word, Excel) and other property management software. Strong attention to detail and ability to work independently. Good numeracy skills (minimum A-level C grade in Mathematics or equivalent). Desirable Experience: Experience in property management or customer service is a plus, but not essential. A full UK driver’s license is advantageous for travel between properties.
